Where Crisis Meets Calm: The Reality of Event Management

There’s a moment at every event, usually five minutes before doors open, when something small goes wrong…or something big.

And in that moment, the success of whole event can hinge on how you respond.

At one particular corporate event, as guests were starting to arrive for drinks in the adjoining room, I found myself, in full event finery, up a ladder painting scaffolding poles black. Those scaffolding poles were holding up a huge black drape. The drape was hiding a live band. The band was due to be revealed later.

With five minutes to spare the poles were….not black.

Cue paint in my hair, on my hands, on my dress.

But the guests, sipping prosecco a few metres away, were blissfully unaware.

To be honest, I’m sure no one would have noticed the non-black scaffolding poles, but we knew they were there and…as event specialists…and perfectionists…we couldn’t let it go!

This is just to illustrate that event management isn’t just about clipboards and canapés; it’s about protecting the experience for the client and the guests and delivering a perfect event with or without paint in our hair!

What People Think Events Are

• A venue
• A guest list
• Catering
• A running order

Tick, tick, tick, tick.

But that’s logistics.

And logistics alone don’t protect reputation.

What Events Actually Are

Events are brand theatre.

Every detail – lighting, timing, staging, sound, messaging contribute to how your organisation is perceived.

Whether it’s:

  • A national awareness campaign with multiple stakeholders and sponsors
  • A trade celebration bringing an industry together
  • A corporate team day designed to energise staff
  • A product launch that needs to land flawlessly

The event becomes a living expression of your brand.

The Invisible Work

What most guests never see:

• Months of planning
• Scenario mapping (“What if the power fails?”)
• Supplier negotiation
• Sponsor management
• Messaging alignment
• Risk mitigation
• Last-minute problem solving

Often in heels; always with with a calm smile; sometimes with paint in your hair.

The real skill of event management is ensuring no one notices the problem that almost happened.

Why It Matters More Than Ever

In a world where every moment is photographed, shared and scrutinised, events carry amplified weight.

One poorly executed detail can:

  • Undermine credibility
  • Frustrate stakeholders
  • Dilute messaging
  • Create unnecessary reputational risk

Whereas a well-executed event can:

  • Strengthen loyalty
  • Energise teams
  • Reinforce authority
  • Create content that travels far beyond the room

The Five Minutes Before Doors Open

There will always be a moment.

A cable out of place.
A backdrop that needs adjusting.
A speaker running late.
Scaffolding that is very obviously the wrong colour.

The difference between a stressful event and a successful one?

Preparation

Clear objectives.
Experienced coordination.
Contingency planning.
Calm leadership.

Anyone can book a venue.

Not everyone can design an experience that moves a brand forward and hold their nerve when it needs rescuing in real time.

Preferably without permanent paint damage.
